Expo Policy
1. EVENT INFORMATION
Event Name: Quince & Bridal Expo
Event Dates: March 28–29, 2026
Venue: Alan Jay Arena, Highlands County Fairgrounds, Sebring, Florida
2. SET-UP, OPERATION & TEAR-DOWN
Official set-up times will be provided by Expo Management. Exhibitors must adhere strictly to assigned move-in and move-out schedules. Exhibitors may not dismantle or remove any portion of their display prior to the official closing time of the Expo unless expressly authorized by Expo Management. A penalty fee of $100 will be assessed if any part of an exhibitor’s display is dismantled during Expo hours. Exhibitors who violate this policy may be disqualified from participating in future Quince & Bridal Expo or other trade shows produced by Artistico Productions / Artistico Design, LLC.
3. BOOTH CONDUCT & NOISE LEVELS
All activities within your booth, including promotional videos, must be at appropriate noise levels so as to not infringe on your neighbors ability to conduct business. Artistico Productions / Artistico Design, LLC reserves the right to determine and set the acceptable sound level in all such instances.
4. CLEAN-UP RESPONSIBILITY
Exhibitors are responsible for leaving their exhibit space clean and free of debris at the conclusion of the Expo. Any materials left behind will be removed by Expo Management, and the Exhibitor agrees to pay $100 per hour for clean-up services.
5. MERCHANDISE & MOVE-IN SECURITY
In accordance with venue policy, exhibitors may hand-carry merchandise through the front doors during move-in and move-out.For security purposes, at least one representative of the exhibitor’s company must be present during these times. Expo Management staff will be present during set-up and show hours; however, security of booth contents remains the sole responsibility of the Exhibitor.
6. FOOD & BEVERAGE SAMPLING
Distribution of food, cake, beverages, or other edible samples requires prior approval from Expo Management. Sample portions must be limited to 2–3 ounces. No cooking or food preparation is permitted inside the venue. Exhibitors distributing edible items assume full liability and agree to indemnify and hold harmless Artistico Productions / Artistico Design, LLC, the Venue, the City, and all affiliated entities from any claims or injuries arising from such distribution.
7. EXPO PRIZES
Under no circumstances may the exhibitor or any of their employees/assistants working at the Expo be eligible to win Expo Prizes.
8. SIGNAGE & INSTALLATIONS
Exhibitors may not nail, tape, staple, hang, or affix signage to walls, columns, windows, or any part of the venue. All signage and displays must remain within the boundaries of the assigned exhibit space.
9. FORCE MAJEURE
Expo Management shall not be deemed in breach of this Agreement if the Expo is delayed, rescheduled, or canceled due to events beyond its control, including but not limited to fire, flood, natural disasters, acts of God, war, terrorism, pandemics, venue cancellation, or government restrictions. In such cases, all monies paid will be credited toward participation in the next Quince & Bridal Expo. No refunds will be issued. Expo Management makes no guarantees regarding attendance levels.
10. PAYMENT, DEPOSITS & NO REFUNDS
Exhibitor agrees to pay the selected exhibit space fee (“Space Fee”).A non-refundable deposit may be used to reserve exhibit space. The remaining balance must be paid in full by the deadline established by Expo Management. All payments are non-refundable, regardless of reason, including non-attendance or failure to occupy the booth. Failure to appear or use the assigned exhibit space will result in forfeiture of all payments without exception. Sponsored exhibitors must remain in good standing to receive sponsorship benefits.
11. RIGHT OF ADMISSION & TERMINATION
Expo Management reserves the right of admission and may expel, cancel, or deny participation to any exhibitor due to improper conduct, unprofessional behavior, or any action deemed detrimental to the event. This Agreement may be terminated by Expo Management without notice upon breach of any terms, with no liability to the Exhibitor.
12. PLACEMENT & NON-EXCLUSIVITY
While Expo Management will make reasonable efforts to avoid placing exhibitors of the same category adjacent to one another, no exclusivity or placement guarantees are made.
13. LIABILITY, INDEMNIFICATION & INSURANCE
Exhibitor assumes full responsibility for any loss, damage, or claims arising from its participation. Exhibitor agrees to indemnify, defend, and hold harmless Artistico Productions / Artistico Design, LLC, its owners, employees, contractors, the Venue, and all affiliated entities from any claims, damages, or legal expenses arising from Exhibitor’s activities. Exhibitors are strongly encouraged and may be required to maintain general liability insurance with coverage of at least $1,000,000 per occurrence, naming Expo Management and the Venue as additional insured.
14. PROMOTIONAL USE
Exhibitor grants Expo Management the right to use the exhibitor’s name, logo, photographs, and video recorded during the Expo for promotional and marketing purposes without compensation.
15. UTILITIES & SERVICES DISCLAIMER
Expo Management does not guarantee uninterrupted electrical service, internet access, or utilities. No refunds or credits will be issued for service interruptions beyond Expo Management’s control.
16. ASSIGNMENT
Exhibitors may not assign, share, or sublease exhibit space without prior written approval from Expo Management.
17. GOVERNING LAW
This Agreement shall be governed by and construed in accordance with the laws of the State of Florida. Any legal action shall be brought exclusively in the courts of Florida.
18. SEVERABILITY
If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
